About the Role
As the Administrative Assistant/Administrative Officer (Homecare), you will play a vital role in supporting the Homecare team through efficient administrative operations. Reporting to the Nurse Manager, your responsibilities will ensure seamless processes that directly impact the quality of patient care and family support.
Key Responsibilities:
- System Updates: Perform admissions, discharges, transfers, and deaths in the INGOT system.
- Means Testing: Check patients’ means testing in the system, liaise with next-of-kin, and submit necessary documentation to MOH.
- Home-Based Respite Care (HBRC): Process HBRC applications, coordinate with vendors, and prepare monthly updates for MOHH.
- Consumables and Devices: Process applications, guide families, and ensure sufficient stock levels.
- Reporting: Generate and share daily, weekly, and monthly reports with the team and relevant stakeholders.
- Document Preparation: Prepare case sheets, discharge letters, mortality case files, and other required documents for interdisciplinary team meetings.
- Inventory Management: Maintain inventory records for medical equipment and consumables, and arrange servicing for devices like oxygen concentrators and syringe drivers.
- Donations Coordination: Sort, check, and manage expiry dates of donated items, and arrange transfers of donated hospital beds and equipment.
- Volunteer Coordination: Liaise with Volunteer Management on delivering supplies like diapers and milk supplements.
- Administrative Support: Assist with filing, uploading patient documents, handling inquiries, and general office administration.
- Orientation: Facilitate onboarding of new Medical Officers, including issuing work phones and managing transport claims.
- Customer Support: Attend to incoming calls and inquiries about hospice services.
- Triage Support: Answer triage phone calls during nurse training sessions.
Experience and Skills Required:
- Educational Qualifications: Minimum GCE 'O' Level or equivalent.
- Experience: At least 2 years of experience in a healthcare or related field; candidates with Patient Service Officer experience in a hospital setting are highly preferred.
- Technical Proficiency: Proficient in Microsoft Office applications and other relevant software.
- Attention to Detail: Meticulous and organized, with the ability to manage multiple responsibilities effectively.
- Customer Service Orientation: Strong interpersonal and communication skills to handle patient and family inquiries.
- Proactive and Independent: Self-motivated and capable of working independently or as part of a team.
Work Scheme and Details:
- Work Schedule: Monday to Friday.
- Working Hours: 8:00 AM – 5:30 PM (Monday – Thursday), 8:00 AM – 5:00 PM (Friday).
